Terms & Conditions

CANCELLATIONS & RESCHEDULING: SINGLE CLASSES, PRIVATE LESSONS & EVENTS

  • You may cancel a single-session booking up to 48 hours before the start time to receive a full refund.

  • Cancellations made less than 48 hours before the start time are non-refundable.

  • You may request to reschedule a single-session booking up to 72 hours before the start time, subject to availability.

These cancellation and rescheduling terms do not apply to individual sessions within a multi-week course. Please see the Course Bookings section below.

​

  • If Soulful Skate Co. cancels a single class, lesson or event, you will be offered a refund, credit or alternative date.

  • If a session is already in progress and has to be stopped due to deteriorating weather or another unavoidable circumstance, refunds will not normally be issued.

​

​COURSE BOOKINGS, MISSED SESSIONS & CREDIT

Our courses are designed as progressive blocks, with the same group learning and progressing together each week. When you book a course, you are reserving your place for the full course rather than purchasing each session individually.

​

  • Course fees are payable in full and are not reduced if you are unable to attend individual sessions.

  • If, before booking, you already know that you will need to miss one or two sessions, please contact us before completing your booking. Where agreed in advance, we can offer one £20 Soulful Skate Co. credit towards a future course, masterclass or event. The credit is fixed at £20 regardless of whether you expect to miss one or two sessions.

  • This credit must be agreed before you book the course. Sessions you become unable to attend after booking do not qualify for refunds, additional credit or a reduction in the course fee.

  • Missed sessions cannot normally be transferred into another ongoing course, as keeping the same group together helps everyone progress consistently.

  • If you expect to miss more than two sessions, we would usually recommend joining a later course instead.

  • If illness, injury or exceptional circumstances arise after booking, please contact us as soon as possible. Any transfer, additional credit or alternative arrangement offered in these circumstances is at our discretion and is not guaranteed.

IF SOULFUL SKATE CO. CANCELS A COURSE SESSION

  • If we need to cancel one session within a multi-week course, we will aim to rearrange the session where reasonably possible.

  • If rearranging the session is not possible, an appropriate refund or credit for the cancelled session will be offered.

  • If an entire course is cancelled by Soulful Skate Co., you will receive a full refund or the option to transfer your booking to another suitable course.

GROUP CLASS VIABILITY

Group classes and courses require a minimum number of participants to run. If there are not enough bookings, Soulful Skate Co. reserves the right to cancel, postpone, combine or rearrange the session or course. Where this happens, we will contact affected participants and offer an appropriate alternative, transfer, credit or refund.

​

SAFETY EQUIPMENT

  • All participants are strongly advised to wear appropriate safety equipment, including a helmet, wrist guards, elbow pads and knee pads.

  • For group classes, equipment and boards may be available to hire or borrow depending on the booking.

  • For private classes, use of a helmet, pads and board is included in the class price unless otherwise stated.

  • If you already own suitable equipment, you are welcome to bring it.

  • The instructor may refuse participation where equipment is considered unsafe or unsuitable.

LATE ARRIVALS AND SESSION START

  • Please arrive on time so that sessions can start and finish as scheduled.

  • If you arrive late, we will do our best to include you for the remainder of the session, but we cannot guarantee an extension or refund for the time missed.

  • In group classes or courses, late arrivals can disrupt the progression of the session. The instructor may decide how and when it is appropriate for you to join.

ASSUMPTION OF RISK, DUTY OF CARE & ACCIDENT LIABILITY

Skateboarding, longboarding, surfskating and similar activities involve inherent risks, including the risk of injury, damage or loss.

 

  • By booking and completing our waiver, you acknowledge these risks and understand that participation involves an element of personal responsibility.

  • Soulful Skate Co. and its instructors will take reasonable steps to provide safe, appropriate instruction and respond appropriately in the event of an accident or injury.

  • Participants must follow instructor guidance and use equipment appropriately.

  • Soulful Skate Co. does not accept liability for injury, loss or damage resulting from risks inherent to the activity, participant negligence, failure to follow instructions or practising techniques outside a formal session, except where liability cannot legally be excluded.

  • You must disclose any relevant medical conditions, injuries, physical limitations or other information requested in the waiver.

PHOTOGRAPHY & MEDIA

  • We may take photographs or video during lessons, courses and events for promotional, marketing or social media purposes.

  • If you do not wish to be photographed or filmed, please indicate this in your waiver or let the instructor know.

  • Participants, parents and guardians should not photograph or film other participants without their consent.

 

​DATA PROTECTION, PRIVACY & EMAIL MARKETING

​

a) Data Collection, Use & Retention

  • We collect personal data (including name, contact information, emergency contact details, health disclosures, and waiver responses) to provide safe and effective services.

  • This data is stored securely and used only for:

    1. organising and operating classes,

    2. ensuring participant safety and informing emergency services in case of an accident,

    3. essential communications (e.g., class updates, cancellations).

  • We do not share personal data with third parties except where necessary (e.g. payment processors, email service providers) under appropriate data processing agreements.

  • We retain your personal data only for as long as reasonably necessary, or as required by legal, insurance or safety obligations.

  • When data is no longer needed, it will be securely deleted or anonymised in line with our data retention schedule.

b) Email Newsletters & Marketing

  • If you opt into receiving our email newsletter or promotional communications, we will process your personal data in accordance with UK GDPR and the Privacy and Electronic Communications Regulations (PECR).

  • In most cases, explicit consent is required to send marketing emails to individuals (especially B2C).

  • In limited circumstances, we may rely on a “soft opt-in” / legitimate interest basis for sending marketing emails to existing customers, provided that:

    1. Your contact details were collected during a sale or negotiation of a sale,

    2. You were given a clear opportunity to opt out when your details were collected, and

    3. Every subsequent message includes an easy opt-out method.

  • Recipients always have the right to object to receiving marketing emails, and if you do so, we will cease sending them.

  • We periodically clean our mailing list, remove unsubscribed addresses, and may delete inactive subscribers in accordance with our retention policy.

 

WAIVER AND LIABILITY ​​

Participation in Soulful Skate Co. lessons, courses and events may require completion of our waiver.

By completing the waiver, you confirm that:

  • you understand the nature and risks of the activity;

  • you have disclosed relevant medical conditions, injuries or limitations;

  • you agree to follow instructor guidance and safety instructions.

Our waiver forms part of these Terms & Conditions.

SAFEGUARDING AND CHILD PROTECTION​

  • Our safeguarding and child protection policy applies to all participants under 18 and vulnerable persons. You can view it here: Safeguarding & Child Protection.

  • If you are responsible for a minor, you must ensure that they behave appropriately, follow instructions, and wear the required safety equipment.

OTHER PROVISIONS AND MISCELLANEOUS 

  • Behaviour & Conduct: We reserve the right to refuse service or remove participants who behave recklessly, abusively, or in violation of these Terms.

  • Force Majeure: We shall not be liable for failure to provide service caused by circumstances beyond our control (e.g. extreme weather, closure of venue, strikes).

  • Severability: If part of these Terms is held invalid, unlawful or unenforceable, the remaining provisions continue in full effect.

  • Amendments: We may update these Terms & Conditions from time to time. The version in force is the one published on our website at the time of your booking.
